Kuali OLE Monthly Update for Partners – March 2016

Active teams

  • Functional Council (Chair:  Beth Picknally Camden)
    • The FC completed its work and held its final meeting on March 21st.
  • Deliver (Lead SME:  Emily Batista)
    • The Team wrapped up its work on release 2.1 and evaluated 3.0 issues for retention or placement in phase 2. With the decision to focus remaining phase 1 time on must-have issues for the current implementations, the team disbanded at the end of March, with the lead remaining available to assist with continued testing on fixes and new features as needed.
  • Select & Acquire (Lead SME: Sharon Wiles-Young)
    • The team looked over some remaining questions about Jiras that are in currently in QA testing.
    • Bob and others tested some of the Batch import/PO functionality for 2.1.
    • The review of Jiras in 2.1, 3.0 will now be turned over to the Implementers group for review and determine what Jiras are needed by the early implementers.
    • March 21st was S&A last official meeting as we now transition to the next phase of development for OLE: Bob Persing was thanked for all his work and dedication and his continued work on S&A. Sharon thanked Carlen for her leadership and the whole team for their weekly dedication and hard work on writing, reviewing and testing specs. Kristin and Sharon will continue as facilitators for the Community Forum.
    • Sharon encouraged the whole S&A team and others to attend and contribute to the Community Forum once those meetings are underway.
    • Sharon will send out updates on progress of the facilitators work on the Community Forum and any other information that the S&A team should know during this transition.
  • GOKb (Lead: Kristen Wilson)
    • Works continues to wrap up the Mellon-funded portion of the project.
    • OLE has agreed to provide support for the GOKb editor position and ongoing maintenance once the grant is over.
  • Implementation Team (Lead: Heather Beery)
    • This new team has been formed consisting of representatives from U. of Chicago, Lehigh University, and SOAS, University of London. The team is meeting three times a week with the OLE project team to review progress on 2.1 and 3.0, discuss any current implementation issues, and report on testing progress.

 

Coding Update

2.1 efforts focus on a new batch process for bib, order, and invoice importing.  Release 2.1 has also been developed to fix multiple issues and will continue to be tested and modified.  These changes can be reviewed in the QA environment: http://qa.ole.kuali.org/portal.do.

2.1 Sprint 9 Intermediate

Some of the jiras in these 2.1 releases include:

Deliver

  • User interface modifications have been implemented to standardize screens and make them easier to use.
  • Item location details in patron bills are no longer captured dynamically; instead they are captured at the time the fee was incurred.
  • Parameters and rules have been added to allow libraries to set default due dates and due times.

System Integration

  • Available and On Hold statuses for SRU services are no longer hardcoded but can be updated via parameters.

3.0 Sprint 2                                                    3.0 Sprint 3

Some of the jiras in these 3.0 releases include:

Select and Acquire

  • Several bugs on the Purchase Order Bulk Amendments process have been corrected.
  • PO additional charges can now be encumbered and relieved.

Describe

  • Staff only flags are now inherited or disinherited up and down the record hierarchy.
  • Locations can be defined as inactive.  Inactive locations will not show up on the dropdowns of records.
  • An additional text field has been added to the item record for non-traditional enumeration.

Deliver

  • The option to return an item at a circulation desk while receiving an alert but not transferring the item has been implemented.
  • Staff may alter due dates for multiple titles from the Loan screen.
  • Recall, on hold, and in-transit dates have been added to the patron lookup.

System Integration

  • Users may now re-index specific groups of records within OLE.

Kuali OLE Monthly Update for Partners – February 2016

Active teams

  • Functional Council (Chair:  Beth Picknally Camden)
    • GOBI API demo and decision to move forward including in 2.1 scope
    • Discussion and approval of the E-Acquisitions proposal to suspend development
    • Ongoing discussion of the move to agile development and its impact on OLE organizational structures
    • Rescoping of 3.0 following Penn’s decision to postpone implementation
  • Select & Acquire (Lead SME: Sharon Wiles-Young)
    • Rich Slabach provided the team with training on new testing procedures
    • Reviewed and tested new batch framework for PO and Invoice import
    • Reviewed specs to improve process of attaching PO to invoice and patron notification of newly received collections
    • Kristen Wilson provided the S&A team with an update on the GOKb and Ebsco meeting. There is some exciting news on possible synergies between GOKb, KI  and Ebsco in the areas of serial data and knowledge databases.
    • S&A team welcomed a new member Jesse Koennecke, Director of Acquisitions and EResources Licensing Services at Cornell University.
  • GOKb (Lead: Kristen Wilson)
    • Kristen Wilson and Jennifer Solomon met with reps from EBSCO for a knowledge base demo and workshop. The group produced a report examining the logistics of data sharing between the two KBs.
    • Jennifer Solomon will be leading a panel at ER&L on April 5 featuring several GOKb community contributors. More information can be found on the conference schedule: http://sched.co/5ZQf

 

Coding Update

  • Purchase Orders can now be amended to add additional copies to a title

Describe

  • Batch deletions were failing with large file sizes but this has been corrected.
  • A new Transfer Titles, Holdings, or Item screen has been created to improve performance.

Deliver

  • Deliver notices are more easily accessible and now editable from within the user interface.
  • Item IDs can now be used in place of barcodes to create requests

3.0 Sprint 1

Some of the jiras in this 3.0 release includes:

Select and Acquire

  • The ability to change the line item order on an invoice has been added.
  • PO Batch Amendments (POBA) document has had several corrections made to it.
  • Linking Vendor Number, which is a field for the university’s id, has been added to the vendor search results.
  • Several problems had been identified with the Receiving and Claiming Queue.  These have been corrected.

Describe

  • Work has been done to allow cataloging staff to copy bibliographic records.
  • OLE now allows for a 245 $k as an alternative to the 245 $a
  • Additional call number types have been added to OLE’s bootstrap data

Deliver

  • A direct link for creating new requests has been added to the Deliver menu.
  • Patron Bill search parameters have been updated to allow staff to generate various lists of fines
  • A reorganized of the Item record’s flags (claimed return, damaged, and missing pieces) and flag history tables make the item record more user friendly.

Kuali OLE Monthly Update for Partners – January 2016

Active teams

Functional Council (Chair: Beth Picknally Camden)

○ FC members participated in the Index Data workshop at ALA Midwinter meeting.

○ Continued discussion of forming a Product Council when we move to agile development methodology.

Deliver (Lead SME: Emily Batista)

○ Changed meeting schedule to twice per week, earlier in the day to accommodate our Western European colleagues.

○ Refined specs for some of our most complicated functions, including credits and refunds for patron bills, calendar setup to account for hold shelf expiration dates, additional functionality for claims return actions, and dealing with lost books when returned.

○ Began working on specs for page and copy requests for 3.0.

○ Began review of Jiras for outstanding Deliver items, including 2.x issues, OLE? and 3.0 open tickets.

○ Worked on testing to close out 2.0 issues.

Select & Acquire (Lead SME: Sharon WilesYoung)

○ Testing of S&A functionality in 2.0 and 2.1 and writing documentation.

○ Met with Describe Team, Peri and Developers to review the batch import UI framework changes in the 2.1 release. The S&A team is reviewing the PO batch import and will be testing batch import of invoicing.

○ S&A team continues to work on the review of JIRAs, determining the version and functional needs of partners and at the same time reviewing the scope.

○ The S&A team welcomed a new member: Jesse Koennecke, Cornell University Library.

GOKb (Lead: Kristen Wilson)

○ GOKb 5.1 was released in January. New features include the ability to use macros within OpenRefine and bulk validation of controlled terms. There will be a demo of the new release at the Feb. 18 users group call.

Cross Module Team (Lead: Heather Beery)

○ In preparation for OLE’s shift to agile development practices and the incorporation of a Product Owner, the SME groups are working to “cleanup” Jira. Currently the group is reviewing and prioritizing all OLE? Jiras. Next OLE Roadmap will be reviewed.

Coding Update

2.0 efforts included small bug fixes that were important or critical for OLE. These changes can be reviewed in the demo environment: http://demo.ole.kuali.org/portal.do .

2.0 Sprint 25                                 2.0 Sprint 26

Additional jiras in these 2.0 releases include:

-Describe

● A migration process for 2.0 shelving key algorithms has been incorporated.

-Deliver

● Request type and pickup location are system wide defaults that are now also configurable by an operator’s circulation desk.

Some of the jiras in these 2.1 releases:

-Select and Acquire

● E-Resource development continues to be tested and improved.

-Describe

● Performance time on batch deletions has been improved.

● Libraries can now set defaults for call number type on the holdings, item and e-holdings records.

-Deliver

● Through the Drools circulation rules, a library may now limit the pickup location by patron type.

● Several bugs that were discovered after institutions implemented Drools have now been corrected.

● Additional UI changes have been implemented for this module.

-System Integration

● When created from the API, bibliographic, holdings and item records were not being normalized before being passed to SOLR. This has been corrected.

Kuali OLE Monthly Update for Partners – December 2015

Active teams

Select & Acquire (Lead SME: Sharon WilesYoung)

○ The Select and Acquire team and the E-Acq team are work diligently on reviewing functionality and testing 2.0 and 2.1 Jiras.

○ The team has been prioritizing Jiras and redefining the critical needs for 3.0 development.

○ Some members of the E-Acq team and Select and Acquire team have been meeting with the Describe team to look at the redesign of the bib and order import.

○ The S&A team welcomed new members from GBV, Maria Grzeschniok and from HBZ, Maike Osters

GOKb (Lead: Kristen Wilson)

○ Development work continues on the 5.1 and 6.0 releases of GOKb.

Implementation Team (Lead: Heather Beery)

○ The Implementation team has ceased regular meetings. If institution staff have issues related to implementation they are encouraged to attend the PM/DM/QM meetings or use the implementation, functional, or technical user group email lists.

Cross Module Team (Lead: Heather Beery)

○ SME groups have completed prioritization for 3.0. In an effort to “clean up” Jira the groups will now work on reviewing Jiras with fixed versions of Hold, OLE?, and Roadmap.

● New load reports can be downloaded for batch bib importing

● Improved search times on the Receiving and Claiming Queues

● Loans and holds have been modified to better compensate for weekends and closed hours

System Integration

● Applied some additional UI customizations that had been initially suggested by Chicago

● The Kuali logos have been updated within OLE

-Select and Acquire

● Invoice error messages are giving more details

● Purchase Order Amendments have more editable fields than before

● Several updates and fixes have been included for eresourcesas they have been discovered during testing

● Updated the POBA document to include split accounting line changes

-Describe

● The Batch Processing file size limit has been increased

● Parameters were added to set call number type defaults on holdings, item, and e-holdings records

-Deliver

● Note fields have been added to hold requests, they will also print on the pull and routing slips

● Fast Add records can now be created outside of the Loan screen; the link is available from the Deliver menu

● Updated the Item Transit History name to Return History and modified the table to include all return data, including in-house uses

Kuali OLE Monthly Update for Partners – November 2015

Active teams

Functional Council (Chair: Carlen Ruschoff)

○ All Functional Council, Technical Council, SME Leads participated in a day long workshop on Agile development. The training provided the groups with a deeper understanding of how Agile development operates. The FC has continued discussions about how a transition to Agile development will affect the way in which we work

○ The Board named a Managing Director to the project and established a Steering Committee to oversee the day to day management of the project. The role of the Managing Director is to act both internally and externally on behalf of the project.  The FC is discussing the effect of the two new entities will have on operations and is discussing how the current governance model will evolve to support the project.

○ The FC endorsed changes to the scope of releases 2.0 and 2.X related to ERM functionality. The integration of GOKb is moved to a later release.

Technical Council (Chair: Adam Constabaris)

○ Migrated OLE source code repository to GitHub

Deliver (Lead SME: Emily Batista)

○ Team members worked on reviewing outstanding issues and prioritizing them.

○ We did a lot of testing as many changes were made during the month to two different version environments.

Describe (Lead SME: Doreen Herold )

○ New Describe team members were welcomed: Amy Turner (Duke University) and Christie Thomas (University of Chicago).

○ A demonstration of how to upload holdings to OCLC from OLE was provided by Lisa McColl (Lehigh University).

○ The team received a brief introduction to agile development and were referred to the link provided by the agile consultant: Agile Product Ownership in a Nutshell YouTube Video by Henrik Kniberg.

○ The Describe team collectively reviewed JIRAs marked for 2.x and 3.x for prioritization, moving almost 50% of Describe’s 3.x JIRAs to Roadmap.

Select & Acquire (Lead SME: Sharon WilesYoung)

○ S&A team finished the 3.0 prioritization and made some good decisions on bringing several Jiras together; Kristin Martin had the E-Acq team review what ERM features could wait for 3.0 and some Jiras were moved to roadmap

○ Testing continues on 2.0 Jiras for both S&A and EAcq.

○ S&A team discussed general ledger and account structures. Bob Persing created a document on the different account configurations that OLE early adopters are using.

○ Several Jiras on invoice line notes and credit memos were discussed and refined.

○ The S&A team reviewed and approved the functional spec for Duplication checking at time of order record imports.

System Integration/Infrastructure (Lead SME: Matt Sargent)

○ Group is reviewing membership, meeting time, and will start looking at what we do as a group in the coming year.

○ If your institution is not represented on the SII group, please let me know and we can get representatives added.

GOKb (Lead: Kristen Wilson)

○ GOKb 5.0 was released Nov. 3. New features included the ability to capture reusable code for cell-level edits in OpenRefine, new features for validating coverage dates, and KBART phase 2 compliance.

○ New data management and data provider partners include Germanna Community College, University of Connecticut, and the Electronic Resources Database-Japan (ERDB-JP).

Cross Module Team (Lead: Heather Beery)

○ SME Leads have been focusing their groups on the prioritization of 3.0 work while focusing on the early adopter institutions (Chicago, Lehigh, SOAS, Duke, and Penn).

 

Coding Update

1.6.2 efforts were finalized during the month. There was one last update for this release to rectify problems with the request functionality. These changes can be seen in the DEMO environment:  http://demo.ole.kuali.org/portal.do .

1.6.2 Sprint 21            1.6.2 Sprint Final contains the full extent of 1.6.2 development work.

 

2.0 development was nearly completed this month. These changes can be reviewed in the QA environment: http://qa.ole.kuali.org/portal.do .

Some of the jiras in these 2.0 releases:

-Select and Acquire

● As testing continued with new E-Resource development, bugs are being discovered and corrected.

● Work has been done to improve searching on the Receiving and Claiming Queue

-Describe

● Several problems arose when saving or submitting Batch Import Profiles but these have been corrected.

-Deliver

● A notice search has been added to the Deliver tab. You can search for notices by patron, item, date or notice type.

● You may now conveniently alter the due date or renew items from the proxy account on the Loan screen.

-System Integration

● Some of the UI changes made in 1.6.2 were not carried over to 2.0; these have been corrected.

● The Kuali OLE logo has been updated. 2.1 coding began this month. These changes can be reviewed in the TST environment:  http://tst.ole.kuali.org/portal.do .

 

2.1 Sprint 1

Some of the jiras in this 2.1 release:

-Select and Acquire

● Several corrections to the application of donor codes have been made.

● Several problems with foreign currency conversions have been corrected.

-Describe

● The ability to undo bound-withs has been added.

-Deliver

● Several updates to the Request Search screen have been added.

● Circulation data retained in the circulation history table has been updated and new fields have been added to the table.

Kuali OLE Monthly Update for Partners – October 2015

Active teams

Select & Acquire (Lead SME: Sharon Wiles-Young)

○ S&A team discussed the prioritizing process and worked diligently to identify the “must have” jiras for 2.x and began to discuss the priorities for 3.0 & 3.x version. Finished the 2.x process for the Early Adopter Team to review

○ Kristin Martin provided an overview of the ERM functionality that the E-Acq team reviewed and endorsed. She discussed the 2.0 development that needs to be completed for a basic ERM workflow and then what development will need to follow in 3.0 such as licensing functionality.

○ The S&A team discussed the multi-fund PO, the multi-copy workflow and recurring order functionality. The team followed up on the recurring order functionality and requested that OLE set the default dates for type of recurring payment and this Jira is being tested now.

○ 1.6.2 S&A testing is finished and 2.0 S&A testing is continuing and near completion.

System Integration/Infrastructure (Lead SME: Matt Sargent)

○ Matt Sargent (Indiana University) is the new Chair of the Systems Integration SME group. With the amount of work the OLE project team is currently facing it was decided that the actual running of the group should be shifted to someone else. However, Peri’s expertise makes him a critical member of the group so he will continue to attend the meetings to offer his valuable insight.

GOKb (Lead: Kristen Wilson)

○ Development on GOKb release 5.0 was completed. The release is scheduled to be applied to the GOKb live and test environments Nov. 3.

○ New data management and data provider partners include the University of Iowa, Harvard University Press, and the University of North Carolina at Greensboro

○ Partners from NC State University loaded packages from several priority publishers including: American Chemical Society, World Scientific Publishing, the Directory of Open Access Journals, and Annual Reviews, sourcing the files from the CUFTS open knowledge base.

Implementation Team (Lead: Heather Beery)

○ Chicago currently has 1.6.2 in production. In November, both Lehigh and SOAS plan to have 1.6.2 in production as well.

Cross Module Team (Lead: Heather Beery)

○ SME groups have been prioritizing 2.x work focusing on the “must-have” needs of the early adopter institutions (Chicago, Lehigh, SOAS, Duke, and Penn). When this work is finalized the SMEs will review 3.0 Jiras.

Coding Update

1.6.2 efforts included cleanup of some issues with Drools circulation rules and some new work on Bib Import and Order Import Batch Processes. These changes can be reviewed in OLE’s TST environment here http://tst.ole.kuali.org/portal.do . We anticipate that this will be the last update to our 1.6.2 branch.

Some of the jiras in these 1.6.2 releases:

-Deliver

Checked in items that are moving to In Transit for re-shelving or In Transit for Holds were not displaying the Route Location on the Return screen. This had been displayed properly with the KRMS circulation rules, but not with Drools. This was fixed .

-Select & Acquire

● Investigations begun on issues with order imports using Batch Profiles in combination with Edifact files. There may be a problem with properly recording what may first appear as a duplicate in the Edifact file. The proposed solution is to invoice items that are not linked to a PO to allow the user to work out the resolution

2.0 efforts are continuing to focus on the Electronic Resource Management functionality and the integration of ERM records with Accounts Payable records as well as work on the relationship of parent and child electronic resources. These changes can be reviewed in OLE’s QA environment –  http://qa.ole.kuali.org/portal.do .

2.0 Sprint 19                                       2.0 Sprint 20

Some of the jiras in these 2.0 releases:

-Select & Acquire

● Vendor and Publisher names in look ups were being sorted with uppercase names coming before lower case names. This functionality has been changed to display these names without regard to capitalization.

● Vendor and Publisher searches are essentially looking at the same master data (Vendors) but on the E-Resource record, there were two different search methods being employed. This has been changed to provide one consistent method for searching for Vendors and Publishers.

● When a parent-child relationship between two different E-Resource records has been established, the requirement was to display all electronic holding records from child resources should also appear on the parent resource record. That is now working as requested.

Kuali OLE Monthly Update for Partners – September 2015

Active teams

Select & Acquire (Lead SME: Sharon WilesYoung)

○ Kristen Wilson provided the S&A team and E-Acq team with an overview and update on GOKb. After Kristen’s excellent overview, the team discussed the possibility of reexamining ERM and GOKb workflow. How should OLE proceed with the development of GOKb functionality and how best to test GOKb with the ERM functionality? The team will continue to discuss approaches once 2.0 functionality is completed and in production.

○ Kristin Martin provided the S&A team with a 2.0 demo of e-resource record functionality. She showed how the ERM workflow is configured, how to set alerts, and she showed the functionality of platform and vendor/organization records. It was very helpful to see this functionality in action.

○ The E-Acq team continues to test 2.0 functionality and this testing is identifying some critical bugs that need to be fixed and retested.

○ The S&A team and E-Acq team have completed some of the 2.0 documentation and continue to write ERM documentation as 2.0 code is completed and tested.

GOKb (Lead: Kristen Wilson)

○ GOKb has two new partners Harvard University Press and The University of Iowa

○ NCSU loaded more than 50 new packages into GOKb during September, drawing on the Open Source CUFTS knowledge base.

○ GOKb will be presenting at shotgun session at Charleston: “Ebooks, Community Management, and the Future(s) of the Global Open Knowledgebase” on Friday, November 6 at 3:30 P.M.

○ GOKb will also be represented with OLE at the Charleston vendor showcase.

Implementation Team (Lead: Heather Beery)

○ Chicago now has 1.6.2 in production. See updates on 1.6.2 functionality in the Coding Update below. SOAS is planning on implementing 1.6.2 in November and Duke plans to implement the 1.6.2 Deliver module in December.

Cross Module Team (Lead: Heather Beery)

○ The Cross Module team has been meeting very infrequently as the Early Adopters Group is working on reprioritizing work for 3.0 and below. This group consists of the institutions currently planning on implementing 3.0 (Chicago, Lehigh, SOAS, Duke, and Penn).

 

Coding Update

1.6.2 efforts concluded with 1.6.2r24396 and 1.6.2r24565. These releases focused on the final transition from KRMS circulation rules to Drools and the implementation of most of the User Interface customizations requested by University of Chicago. Some of the fixed bugs include:

-System Integration

● Data errors while loading patron data were not being reported with enough information to determine the cause of the error. OLE will now report the line number of the invalid data in the report file.

  • Continued performance improvements on notifications and Deliver API with Drools

 

2.0 efforts continued this month with a renewed focus on Electronic Resource Management functionality in 2.0r24307.  There was also a merger of the 1.6.2 code changes with the 2.0 code in 2.0r24571. These changes can be reviewed in the QA environment:  http://qa.ole.kuali.org/portal.do .

● Improvement of data ties between purchasing and cataloging through the E-Resource document.

Kuali OLE Monthly Update for Partners – August 2015

Active teams

Describe (Lead SME: Mechael Charbonneau)

○ Said farewell to longtime SME member Lauren Reno (Duke). Lauren provided invaluable expertise in the area of rare book and special collections cataloging since joining the team in May 2013.

○ On August 11 th , the group participated in a demo of how the Search Workbench Boolean operators NOT and OR are now working. Because the SOLR limitation is somewhat confusing, a technical writer will document the functionality for the group’s further review.

Select & Acquire (Lead SME: Sharon Wiles-Young)

○ SOAS had a successful FY roll over in OLE; reviewing one bug with PREQs

○ Team continues to review the roadmap scope and functionality for 2.0 and 2.x

○ Documentation for Select and Acquire 2.0 functionality is beginning to be written

○ Continue testing 2.0 bug fixes

○ Kristin Martin continues to update the S&A team on 2.0 E-Acq testing and the development of new functionality that needs to be retested.

GOKb (Lead: Kristen Wilson)

○ Development team is wrapping up release 5.0.

○ Scoping is complete for release 6.0 scheduled for December 2015.

○ Several new partners will begin contributing effort to GOKb including Minnesota State University, Mankato, Philadelphia University, and The University of North Carolina. These schools will be contributing to data quality efforts including error resolution and title history enhancement.

Implementation Team (Lead: Heather Beery)

○ Several institutions continue to test Drools for 1.6.2, others await the release or are beginning to review their circulation policies in preparation.

 

Coding Update

1.6.2 efforts continued during the month. This release focuses on critical and blocking bugs found by implementers as well as the transition from KRMS circulation rules to Drools. These changes can be reviewed in the TST environment: http://tst.ole.kuali.org/portal.do .

1.6.2 Sprint 16

Some of the fixed bugs include:

-Describe

● Search workbench was bringing up incorrect titles in the search results when searching by item barcodes; this has been corrected.

-Deliver

● Continued to work on request alerts and notifications

● Updated the patron schema to include middle names and local ids while batch importing records.

2.0 efforts continued this month. These changes can be reviewed in the QA environment:

2.0 Sprint 15

-Select and Acquire

● Added fund codes as aliases to accounting strings

● Continued to work through E-Resource development with testers

-Deliver

● Several minor modifications have been applied to the loan and return screens for ease of use

● Work was done to add system defaults for staff placing requests

● Created a maintenance document to easily customize deliver notices

-System Integration

● Removed the word “Instance” from the UI; OLE now uses the terms Holdings and Items

Kuali OLE Monthly Update for Partners – July 2015

Active teams

Technical Council (Chair: Adam Constabaris)

○ We’ve been laying the groundwork for the August F2F, including sketching out development and technical support models for OLE.

Describe (Lead SME: Mechael Charbonneau)

○ In preparation for the Functional Council’s August F2F meeting in Chicago, SMEs completed their review of all Describe Jira enhancement tickets with Fix Version “OLE ?” and “OLE Hold”. Approximately 60 “OLE Roadmap” Jira tickets were also reviewed and prioritized to identify enhancements to be considered for inclusion in OLE Release 4.0.

Select & Acquire (Lead SME: Sharon WilesYoung)

○ The team reviewed 170 Select and Acquire OLE roadmap Jiras to move to a 4.0 assessment. Under Kristin Martin’s guidance the EAcq team also reviewed the OLE E-Acq roadmap Jiras.

○ Lehigh University had a successful FY rollover with one issue: timing of a payment of an invoice and overnight jobs running. This has been resolved.

○ The team went over some invoice functionality with the development team.

○ The team invited Heather Beery to our meeting and Heather provided an update on OLE development, the deadline for the 4.0 Jiras that the team identifies, and how the F2F meeting will also provide input for the vision of the 4.0 roadmap.

○ The team thanked Marty Berryman for all her work on S&A and wished her a great retirement. Michelle Crump will be leaving the project and we thanked her for her work as a testing coordinator. Lynda Clendenning will be the new S&A testing coordinator.

GOKb (Lead: Kristen Wilson)

○ GOKb steering committee met in London on July 23-24 to determine priorities and roadmap for the remaining Mellon period. We will ask Mellon for a no-cost extension through February to provide extra time to complete development.

○ We will begin working with OLE to plan for the future of the GOKb project once Mellon funding ends.

○ The development team is testing release 5.0

○ GOKb editor Jennifer Solomon is pursuing new partner opportunities with EBSCO, California Digital Library, Philadelphia University, and others.

Implementation Team (Lead: Heather Beery)

○ Chicago, Lehigh, and SOAS have all completed their fiscal year rollovers. As each institution completed the process there were of course lessons learned. These elicited refinements to the system as well as peer support to other institutions thereby making each rollover go more smoothly.

○ Currently Chicago, Lehigh, and SOAS are all running 1.6.1 with plans for moving to 1.6.2 in the fall.

○ The group is working to capture tips and tricks for installation as they learn about stability issues and how to resolve them.

Consortia Team (Lead: Matt Sargent)

○ We continue to refine and ask for any input on the consortia vision document .

Cross Module Team (Lead: Heather Beery)

○ The team is currently reviewing roadmap priorities for 4.0 and finalizing specifications for 3.0. SME teams are also thinking about their vision for the future of OLE in preparation for the upcoming FC/TC F2F in Chicago.

● Issues continued to be corrected as found for the FYRO process and POBA (purchase order batch amendment) documents.

● Created a query to remove null POs from the system and corrected OLE so that they do not get created.

-Deliver

● Continued to correct issues with notices and requests.

-System Integration

● SOAP createPatron was confusing patron data. This has been corrected.

● The patron loading poller was reporting successful imports as errors. This has beencorrected.

-Select and Acquire

● Updated Invoice batch processing to give an error if there are multiple matches on the vendor line item.

● Continued to work on E-Resources– workflows.

● Corrected several errors on the Invoice document and the Serial Receiving Record’s workflow for deleted records.

-Describe and Manage

● Batch process jobs were appearing in people’s action lists. This has been stopped.

● Removed the permission DESC_WORKBENCH_SEARCH, now any OLE user can search records.

-Deliver

● Added new circulation rules to renew lost items.

● Modified the display of the Deliver Item Search’s Item Record to be consistent with the Search Workbench’s Item Record and changed the search results place request button to appear only when an item is available for holds.

● Added alerts for staff for when a patron has an item on hold at their pickup location.

● Removed the placeholder “x” in the Fast Add screen’s Call Number field.

-System Integration

● Corrected validation errors in the REST API’s GET command.

Kuali OLE Monthly Update for Partners – June 2015

Active teams

● Describe (Lead SME: Mechael Charbonneau)

○ Completed and submitted the following user requirement specifications for Release 3.0:

■ OLE5402:  Copy/Clone Bibliographic Records

■ OLE7227:  Improve Single Record Import Functionality

■ OLE6185:  Analytics: Improve UI

■ OLECNTRB16:  MARC Holdings Extension to the OLE Holdings Record [code to be contributed by Indiana University]

○ Kristin Wilson (Chicago) representing S&A and Adam Constabaris (NCSU), Technical Council Chair, joined Describe on June 18 th to discuss a new revised draft of OLE5378: Make Statistical Code Repeatable. Targeted for Release 3.0, Describe had submitted its finalized version in April. The new improved user specification allows for not only the ability to make the code repeatable but also to support different values to be selected from different pull-down menus.

○ Reviewed and commented on Penn’s “must haves” list of Describe functionality for their planned summer 2016 implementation of Release 3.0.

○ Dave Burke (Villanova), Doreen Herold (Lehigh), and Gary Charbonneau (Indiana) volunteered to serve on an ad hoc group charged with reviewing the various graphical command buttons for any inconsistencies within the Describe module.

○ Neil FrauCortes (Maryland) was appointed as Describe’s designated representative to the OLE Consortia Group.

○ Lisa McColl (Lehigh) will be assuming the role of Describe Testing Coordinator later this summer replacing Jackie Byrd (Indiana) who has served in this capacity since February 2013.

○ On June 22nd , SMEs viewed a demonstration of Chicago’s local user interface improvements. Members also completed an assignment from the OLE Cross Module group to review specific proposed Describe module UI changes and recommend which changes should be added to the 2.0 OLE base code.

○ Describe reviewed and commented on the draft consortial vision document prepared by the OLE Consortia Group.

○ During June, we also said farewell to two of our valued members thank you both for your numerous contributions to Describe and to the OLE Project!

■ Congratulations to long-time SME member, Janet Fox (Head of Data Management Services, University of Chicago), who retired on June 30th after 45 years of service to the UC Library.

■ Best wishes to Amy Weiss (Head of Description and Cataloging, Florida State University) who joined the Describe team in August 2014 representing the Florida Partners group.

Select & Acquire (Lead SME: Sharon Wiles-Young)

○ University of Chicago had a successful roll over to the new fiscal year. Lehigh will be completing the rollover process on July 16th and SOAS will follow. Thank you to the roll over team for all the hard work and to Bob for organizing and troubleshooting the documentation for roll over.

○ As part of the roll over development, the PO bulk amendment functionality is now completed and was used by the University of Chicago to amend POs before the roll over.

○ The S&A team reviewed all the 3.0 specs and enhancement tickets for any outstanding issues.

○ The S&A team reviewed Jiras for relinking of PO’s to new bibliographic records to decide upon a more efficient workflow and provided feedback to the Describe Team on the single record input

○ The S&A team is reviewing all the enhancement tickets and providing input on what tickets should be considered for the 4.0 roadmap

○ The S&A team is reviewing the Chicago UI proposed enhancements and liked some of the improvements to the S&A screens and functionality

○ A huge Thank you to Bob for his dedication as the Business Analyst for the S&A team. Bob is leaving this role (NOT the S&A team) and the team is currently looking for another BA. Good luck to Penn and Bob as they start to work on their implementation planning.

○ Thank you to Kristin Martin for providing an e-acq update and overview of electronic acquisitions functionality in OLE to the Functional Council. She provided a good look at the status of e-acq and development in 2.0

GOKb (Lead: Kristen Wilson)

○ Jennifer Solomon, the new GOKb editor, started work on June 15.

○ Steering committee and development team will have a face-to-face meeting in London in July.

○ Development work continues on release 5.0, now scheduled for July

Implementation Team (Lead: Heather Beery)

○ Highlights: SOAS and Lehigh are live with 1.6.0; Chicago live with 1.6.1; IU running local install of 1.6.1; ,UMD,NCSU and Duke all running local installs of 1.6.0

○ Chicago completed their fiscal year rollover (FYRO); Lehigh/SOAS are testing FYRO

○ Peri Subrahmanya presented DROOLS (to replace KRMS for check out) and Reporting Framework.

○ Added out of the box jobs to the implementation guide as a step to be reviewed, the guide has been completely reviewed by functional subject matter experts, a technical review will begin next month.

Consortia Team (Lead: Matt Sargent )

○ Consortia group continues to work on its “vision” document prior to the August OLE Face-to-Face.  The document is linked here and all are welcome to comment or make suggestions, please do so!

○ Group has also expanded its strategy for operation and is now more of an advocacy of consortia across the SME groups. We will continue to review membership and ensure all SME groups have a consortia member that can make sure that specifications are written with consortia functionality in mind up front.

 

Coding Update

1.6.1 was finalized on June 22nd. This release allowed for partner schools to accomplish fiscal year rollover and included a new document: Purchase Order Bulk Amendment. Additionally several critical errors for the Deliver module were corrected. Go to the Test Drive now to try out the latest features. The final release notes for this release are available:

● Work continues for E-Resources, corrected various bugs found during testing.

● Added clearer error messages on the Invoice document and the Receiving and Claiming Queue.

-Describe and Manage

● Corrected display errors for Search Workbench results.

● Diacritics were not being processed correctly for e-holdings and some e-holdings were being deleted/added incorrectly during batch processing. Both errors have been corrected.

-Deliver

● Added additional information about damaged items, missing items, and claims return flags to the Deliver Item Search.

● Loaned materials differentiate between the patron and the proxy account.

● Added a parameter to allow institutions to locally determine what statuses will allow users to update an item’s barcode.
